Email Procedures and Standards

Each staff member is assigned a Mailbox and Personal Folder file for email. It is important that you understand how to manage your Mailbox so that you use email effectively

Each mailbox has a quota applied that limits the size of the mailbox folder. So it is important to be aware of email filing processes you can use to ensure that your mailbox does not reach its quota.

As a staff member you can use distribution lists to send appropriate messages to various groups of people. There are some USQ lists that all staff are members of, and you can also create your own lists.

Staff also have access webmail which gives web browser access to your email so that you can access your email account from anywhere in the world.

E-mail Spam has become a significant problem in terms of staff productivity loss and propagation of offensive material, with statistical data suggesting that more than 50% of all e-mails received are Spam.  You can implement a rule to filter spam to a junk e-mail folder.

Another important issue to be aware of is e-harassment, its definition and what it constitutes.

To protect USQ computers from viruses, all computers and laptops used at USQ must have virus protection installed with automatic updates scheduled.

Outlook training is offered regularly throughout the year, and it is recommended that new staff attend these courses to learn about the many timesaving features and different options available in Outlook.
