Opening a Voicemail Message in Outlook

All Voicemail messages are automatically delivered into your Outlook Inbox and will appear as follows:

  • From: Voicemail Message;
  • Subject: Voice Message from John Doe (1234);
    (If the message is from an external number which is not ID Withheld, you will see, eg 'Voice Message from 0407123456');
  • Icon: Telephone;
  • A paper clip icon will also be visible to indicate an attachment. (This attachment is the sound file).

When opening a Voicemail Message in Outlook, you will have a choice of either playing it through your telephone or listening to it via your computer's speakers. As any Voicemail message could be confidential or private, it is not recommended that you play your message through the speakers.

  1. Double-click on the Voicemail message in the Inbox to open it.
  2. In the Voicemail Message Form dialog box which will be presented, check that the Telephone Playback button is turned on. (This button is in the bottom left hand corner of this dialog box).
  3. Click on the Play button.
  4. Your telephone will ring and when you pick up the handset, the message will be playing for you.
  5. While playing this message, you can use the available buttons in the dialog box to:
    • change the volume;
    • change the speed;
    • rewind all the way; or part of the way to replay; and
    • stop.
  6. When finished, replace the handset.
  7. If you wish, you can now select and change the subject line to something more relevant, eg 'Ring John Doe 1234 about that training course'.
  8. Click on the Save and Exit button to close the Voicemail Message.
