Processing materials through LRD

 LRD provides support to faculty staff for the development of learning resources for on-campus and off-campus students. There is no direct cost from LRD to faculties for preparation of course packages. Each course is assigned to a Materials Development Officer. Current course allocations are:

Pre-Production

  • This process begins 13 weeks before the first date for submission (see Note 1) for any semester
    • Faculties of Arts, Education, Sciences and Engineering:  You will receive a course specific email from Sue Moes in regard to that semester’s offer of your course. You will make relevant changes to the email and send it back to Sue Moes by a specific date included in the email.
    • Faculty of Business and Law:  The Faculty of Business pre-production site will be available for you to enter details. Once these details are entered they need to be approved by your Head of School.
    • Details required are:
      • planned changes to the materials
      • delivery mode i.e. print, online, course CD/DVD
      • request for ICE conversion (see Note 2)
      • level of ICE support needed
      • any additions/deletions to the course package
      • non-print inclusions in the package (the LRD website contains more detailed information)
      • staffing
      • number of tutor copies
      • how the course is to be delivered to different cohorts of students (external, oncampus, web)
      • Pre-production information will then be entered into our database which will generate due dates for submission calculated according to the degree of change and DeC involvement
      • You will then receive email confirmation of this pre-production information. If you wish to make any changes please contact the MDO.

      Notes:
           1. LRD guarantees on time delivery for submission by due dates.
           2. Sue Moes will contact you when an existing course is converted to ICE.

      Course specifications 

      • The information on the course specification is the responsibility of the course leader and the faculty.
        The course specification is updated in the faculty.
      • It is important that the information is correct before materials are submitted to DeC.
      • Please check the following:
        • staffing
        • text books
        • assessment dates, weightings and marks
        • examination details

        Submission of materials

        Changing existing material e.g. study modules, introductory materials, solutions etc.

        You have the option of:

        • making tracked changes on an electronic Word conversion of DeC’s file. Request this file through your LRDO, or
        • making annotations on a hard copy of the current version of the course. This method of submission is ONLY for very minor changes. If there are substantial insertions an electronic copy must be supplied, or
        • making changes yourself in the ICE repository once you have been trained in ICE and emailing your LRDO when the work is completed. LRD support is available if needed please outline in the email to the LRDO. 

        Electronic Publishing Services (EPS):

          • adds/updates generic text to IB (if not already done)
          • creates links from Study Schedule
          • inserts media elements
          • arranges for production of Graphics
          • inserts graphics
          • scans materials as required
          • creates books
          • exports to CD/DVD, web

          New material

          • For course being produced in ICE by LRD
            • All new material must be submitted electronically except for material that has to be scanned
            • Your LRDO can supply you with templates of an introductory book and study module to assist you
            • Once submitted, materials are formatted in LRD

            For course being produced in ICE by course leader

             

               

              • Course leader writes course directly into ICE repository. LRD provides support as outlined above

              Changing selected readings and other copyrighted material e.g. Solutions manuals

              • All course readings are stored in DiReCt (Digital Resource Collection) in the USQ Library
                • Provide a full reference for any new reading
                • If the resource is available in the USQ library we source and scan it for you
                • If unavailable in the USQ Library it can either be sourced through an inter-library loan which may involve a cost or you can provide a copy
                • Please note that not all material from the Library databases can be copied but can be accessed through an permalink in the course materials
                • DeC applies for permission to reproduce material that falls outside our Copyright Licence. This may incur a fee which is paid by the faculty  

                Proofing

                • A proof and the original will be sent to you in a white envelope. (If there is a CD or online offer for the course you will also be emailed a URL giving access to the proofing site)
                • Check the PROOF copy to ensure that your changes have been made
                • Mark any corrections clearly in red on the proof copy. For the electronic proofs of the CD/online versions email any formatting problems/requests to your MDO. (At this stage changes to content can still be made)
                • Return the PROOF copy and the original in the envelope to the MDO
                • Indicate if a 2nd proof is required
                • The MDO will check the final print proof and send the materials to printery
                • The MDO will sign off on the CD master before replication and web version before uploading to the StudyDesk. (At this stage it is expected that there won’t be changes to content)

                Lecturer and tutor copies

                • A copy of each item produced for the study package is sent to the Course Leader when it is received by LRD’s Distribution Services
                • Tutor copies are sent as whole package to the faculty administrator at a later date
                • It is the responsibility of the course leader to distribute the tutor copies.
